Submitting an Application to Use a Worcester Public School Facility
Beginning June 1, 2024, applications to use a school facility will be accepted electronically via the OperationsHERO’s EventHQ system. The EventHQ system is user-friendly and allows you (the applicant) to check in on the status of your application as it proceeds through the application process. It also allows you to see your invoices for your events.
To begin, print out this EventHQ Step-by-Step Guide and review it. Now, log in to OperationsHERO website and submit your application according to the EventHQ Quick Step Guide instructions.
Please note: The events calendar found on the OperationsHERO website is not an accurate indicator of the school’s availability.
Permit Requirements
Each application will be reviewed on its individual merits and on the availability of the facilities requested. Per the Worcester Public Schools’ Building Use Policy and Procedures, the school department reserves the right to accept or decline any application.
The Permit Clerk may require proof of Liability Insurance (City of Worcester listed as additional insured), proof of your organization’s Non-Profit status and/or a completed Stadium Checklist to complete your application. These documents can be uploaded at the time of your request for a permit on EventHQ. These instructions are also available in our EventHQ Step by Step Guide and EventHQ Step by Step Video.
The permit will be located in your account for you to print once it has been confirmed.
Cancellation Policy
Forty-eight hours (two business days) notice is required. Please send email Erin Gallivan, Facilities Department Clerk, and the contact of the facility that you are renting. You may also add a comment on your permit in EventHQ. This will notify the school directly that you are canceling your event. Use the @ and the school contact name or the permit clerks name and they will receive a notification.
Full payment is required in advance (ten business days) of your event date.
We accept payments of cash and/or checks (made out to the City of Worcester). Please send checks to the Worcester Public Schools, Durkin Administration Building, 20 Irving Street, Worcester, MA 01609, care of the Budget Office.
