ParentSquare Information for Families

What is ParentSquare?

ParentSquare is the district’s new two-way communications platform that provides instant translations in 100+ languages. It has been launched in all WPS schools over the past few months.

ParentSquare is used for items such as newsletters, snow day notifications, group chats, calendars, report cards, volunteer sign-ups and more. Beginning the week of April 22, we will begin using ParentSquare for districtwide newsletters and announcements, and posting student report cards.

While it is not required, we highly suggest you: 1) download the ParentSquare app from the Google Play Store or Apple Store, and 2) register your ParentSquare account with the email address that is connected to your student through the WooEdu Parent Portal.

You Choose How Often You Receive Notifications

Once you have registered your account, you can adjust your notification settings to determine which communication methods you prefer – email, text, or mobile app – and how often you would like to receive these notifications

You have three options:

  • Instant: Receive all messages instantly
  • Digest: Receive all messages together in one daily communication around 6:00 PM*
  • Off: No notifications are sent.* You can check the app for notifications at your leisure.

*Regardless of your notification settings, you will continue to receive emergency notifications instantly. This will include snow cancellation messages.

Please note that if you reply “STOP” to opt out of text notifications, you cannot resume receiving text messages unless you text, “START” to 66458.

Frequently Asked Questions & Answers

How do I sign up for ParentSquare?

If you are a parent or guardian of a student in Worcester Public Schools, you should receive an invitation to join ParentSquare. The invitation will be sent to you through email or text. Click the link in your invitation to activate your account. 

Action:

  1. Open the invitation email or text. Click Activate your account or tap the link to activate your account.
  2. Create a Password for your ParentSquare account and click Register.
  3. Click Confirm for your phone number and/or email. A verification code will be sent to the email or phone number.
  4. Enter the verification code to confirm.
  5. Confirm your child(ren) by clicking Confirm. Use “Not My Child” if a child listed is not associated with yours.
  6. Select Yes, This is Me when you have confirmed your contact information and child(ren) associated with your account.

I’ve received an invalid registration link or I can’t find the invitation. What should I do?

You don’t need a registration link to register. 

  1. Go to ParentSquare in your web browser. Or find and install the ParentSquare App on your smartphone through your Apple or Google Play store. 
  2. Use your email or phone number to set up your account. Your email/phone number must match the contact details we have on file.
  3. Click “Get Started.”

If your contact details aren’t recognized, update your contact information in WooEdu. It will automatically sync with ParentSquare overnight. Try logging in again the next day.

My email is correct in ParentSquare. Why am I not receiving emails?

  1. Check your spam folder to see if any ParentSquare messages ended up there, and mark them as “Not Spam.” 
  2. Add [email protected] to your email contacts so your server recognizes our messages. 
  3. If you still are not receiving emails, please contact [email protected] so they can assist you.

My phone number is correct in ParentSquare. Why am I not receiving texts?

You may have accidentally blocked text messages from ParentSquare from your phone.

  • Text “START” to 66458 to re-enable your text messages.
  • If the problem continues, contact your school administrator for assistance.

How do I update my email and phone number?

Update your contact information in WooEdu. It will automatically sync with ParentSquare overnight.

How do I add a student who’s missing?

If you are missing a child/school, it may be because:

  • Your contact information does not match what we have in WooEdu.
  • You have more than one ParentSquare account with different contact information

To add a child or school:

Update your contact information in WooEdu and make sure it is the same for all your children.

Staff Members Who Are Also Parents

As a staff member and a parent, you will be able to have both your staff contacts and your parent contacts linked to the same account.

  • If you have a district-issued staff email on your staff record and a personal email address on your parent record, multiple accounts may have been created for you.
  • If you already have the same phone listed on your staff and parent accounts, your accounts can be easily linked. The accounts will merge automatically once you complete the verification process and confirm both accounts. After this, both emails will be listed on your account, but you will be required to use your staff email to log in.
  • If you already have separate registered accounts under different emails/phones, you can use the Combine Account option to merge them together.

How do I add another parent on my child’s ParentSquare account?  

ParentSquare has accounts for caregivers marked as the primary contacts in WooEdu. Please check with your student’s school to verify how the parent is listed in WooEdu.

If the additional parent is not listed as a primary contact, the parent can request to be added.

In cases where there are legal custody issues, the school can only add the ‘legal guardian(s)’ to ParentSquare.

Any changes or updates in WooEdu will take effect after the nightly sync. Changes should appear the next day.  

How do I change my password?

  1. Go to parentsquare.com and on the login page click “Forgot Password.”
  2. Put in your email or phone number and you will be sent a link to reset your password.

How can I receive content in a different language?

Change your language on a web browser:

  1. From Home, click your name at the top-right and select My Account.
  2. On the left, select Language Settings.
  3. Click the drop-down menu and select your language and click Save.

Change your language from the phone app:

  1. From Home, tap the Menu (triple bars) on the top-left.
  2. Select Account.
  3. Select Preferences.
  4. Select Language.
  5. Scroll through the list and tap on your language.

Why does my ParentSquare account have my spouse’s or co-parent’s name on it?

If you and your spouse/co-parent share an email address, only one pf you will be able to log in to ParentSquare using that email address. The other person should use their cell phone number to log on.

We recommend that each parent/guardian have their own cell phone or email for emergency situations. You can update your contact information in WooEdu.

I am getting too many messages from ParentSquare, is it possible to receive fewer notifications?

You can customize your Post notifications based on type and delivery method.

  • The Instant setting will send all Post notifications in real time.
  • The Digest setting will send all Posts for the day in one single digest at the end of the day.

Posts sent as immediate, as well as direct Messages and Alerts, will still be delivered instantly.

Update Notifications in a Web Browser:

  1. From Home, click your name in the top-right corner and select My Account.
  2. Select Notification Settings on the left. 
  3. Choose your preferred Notification Settings for General Announcements & Messages (Off, Instant or Digest) and School Alerts (On or Off). 

Update Notifications on a Phone App:

  1. From Home, tap the Menu (triple bars) on the top left. 
  2. Select Account.
  3. Select Notifications.
  4. Use the toggle to turn on or off notifications by email, text and app. 
  5. Select Instant or Digest for each mode.

How do I send a message to my child’s teacher?

Contact your child’s teacher privately by using the direct messaging tool. 

  1. On the web, you can click “Messages” in the left sidebar and start a direct conversation by clicking “New Message”. On the ParentSquare App, you can tap on “+” sign to start a new message. 
  2. You will see their child’s teacher and group owners in the quick-select recipients’ box at the top of the page. Or, you can type the first three letters of a name in the recipient box for other users to auto-populate. 
  3. From here, you can send a direct message to your child’s teacher that only you and the teacher can see. You can also send messages to other staff members at the school, such as your child’s coaches and club leaders.

How can I edit my sign-up?

In order to change your sign-up, you must delete your existing sign-up and sign up again for the correct slot. To delete your sign-up, hover your mouse over your name and you will see a trash can appear to the right of your name. Click on the trash can and your sign-up will be removed. Then, you can click on the “Sign Up” button that corresponds with the correct slot.

Can I change my RSVP?

If your plans change and you would like to change your RSVP, click on “Sign Ups and RSVPs” under the participation tab in the left sidebar. On this page, find the event that you had previously sent an RSVP for and click the green button that says “Change my RSVP” on the right side.

How do I unsubscribe? I’m not a parent!

Sometimes, non-parents get messages from a school using ParentSquare.

  • ParentSquare synchronizes with each school’s internal student information database. It contains contact details provided by families (on forms, during enrollment, etc.)
  • Most likely a parent or staff member made a typo, and there is incorrect contact data for a parent or student that matches a real phone number or email!
  • Only the school or district is authorized to update contact details. This maintains security and protects student privacy.
  • Contact the school to have your contact information removed.

Appreciate Posts

Click ‘Appreciate’ in your email/app or website to thank a teacher or staff member for a post.

Comment or Reply

Click ‘Comment’ in app or website to privately ask a question about the post that your teacher or school sent.

Get in Touch

Click ‘Messages’ in the sidebar to privately get in touch with staff.

Participate

Click ‘Sign Ups & RSVPs’ in the sidebar to see available opportunities. Click bell on top to check your commitments.

Find People

Click ‘Directory’ in the sidebar to find contact information for school staff.
